1. Introduction and Acceptance

These Terms and Conditions apply to all bookings and services provided or arranged by Nexus Voyages. By making a booking, submitting payment, using our website, or receiving any service from Nexus Voyages, the client confirms that they have read, understood, and agreed to these Terms and Conditions. “Client” refers to the person making the booking and all travelers included in that booking. The person making the booking is responsible for informing all other travelers about these Terms and Conditions.

2. Our Services

Nexus Voyages may provide or arrange travel packages and services that include hotel accommodation, airport and local transfers, tours, attractions, and events, food or meal arrangements, limousine or private transportation, customized travel experiences, and any other services expressly stated in the written booking confirmation. The services included in each package may vary. Only services specifically mentioned in the client’s written quotation, invoice, itinerary, or booking confirmation will be considered part of the package. Any service not expressly confirmed in writing will not be included.

3. Booking and Confirmation

A booking will not be considered confirmed until the required payment has been received, the client has provided all necessary information and documents, and Nexus Voyages has issued a written booking confirmation. A quotation, verbal discussion, draft itinerary, or provisional reservation does not constitute a confirmed booking. Hotels, room categories, transportation, attractions, events, and other services remain subject to availability until the booking is confirmed in writing. If a selected service becomes unavailable, Nexus Voyages will make reasonable efforts to provide a suitable alternative.

4. Prices and Payment

The package price will be stated in the client’s written quotation or invoice. Unless otherwise confirmed in writing, full advance payment is required at the time of booking, and a booking will only be confirmed after full payment has been received. Prices and availability may change before payment and confirmation. Bank fees, currency-conversion charges, and payment-processing fees may be payable by the client. Any new government taxes or mandatory fees introduced after booking may be charged separately. Failure to make payment by the stated deadline may result in cancellation of the booking. Before making payment, the client must carefully review all names, travel dates, accommodation details, services, and other information shown on the invoice or itinerary.

5. Accommodation

The hotel name, room category, occupancy, and stay dates will be stated in the written booking confirmation. Hotel check-in and check-out times will be governed by the hotel’s policies. Early check-in, late check-out, room upgrades, extra beds, and connecting rooms are subject to availability and may involve additional charges. Hotel security deposits, incidental charges, minibar purchases, room service, and other personal expenses are not included in the package unless expressly confirmed in writing. The client is responsible for complying with all hotel rules and for paying any charges relating to loss, damage, or excessive cleaning.

6. Transfers and Limousine Services

Airport transfers, limousine services, and private transportation will only be provided when expressly included in the client’s package or booking confirmation. The client must provide accurate arrival, departure, pickup, and contact information within the required time. If the client’s travel schedule or pickup information changes, the client must notify Nexus Voyages as soon as reasonably possible. Nexus Voyages cannot guarantee an adjusted transfer where sufficient notice has not been provided.

7. Optional Attractions and Additional Services

Any attraction, event, meal, transfer, upgrade, or other service that is not included in the confirmed package will be subject to availability and additional charges. Third-party attraction and event tickets may be non-refundable and subject to the supplier’s terms and conditions.

8. Alcohol Policy

Nexus Voyages does not provide, include, promote, or recommend alcohol as part of its packages or services. Alcohol may be available for purchase directly from the hotel, restaurant, venue, or another authorized provider at the client’s own discretion and expense. The client is solely responsible for complying with local laws and regulations, legal drinking-age requirements, and hotel and venue policies.

9. Passports, Visas, and Travel Documents

Each client is solely responsible for obtaining and maintaining a valid passport, the correct visa, entry and transit permissions, vaccination or health certificates, and travel authorizations. Nexus Voyages does not accept responsibility for obtaining or guaranteeing passports, visas, or immigration approvals. Any loss, cancellation, delay, refusal of entry, or additional expense resulting from missing or incorrect documentation is the client’s responsibility.

10. Health, Medical Services, and Travel Insurance

Hospital treatment, doctor consultations, and other medical expenses are not included in the package unless expressly confirmed in writing. Before booking, the client must inform Nexus Voyages of any medical condition, allergy, disability, or mobility issue that may affect the booking. Clients are strongly advised to obtain suitable travel insurance covering medical emergencies, trip cancellation, and other unexpected travel-related expenses.

11. Client Responsibilities and Conduct

The client is responsible for providing complete and accurate personal information, arriving on time for all confirmed services, following applicable laws and local customs, and treating staff respectfully. Nexus Voyages or the relevant supplier may refuse or terminate a service if a client engages in illegal, threatening, abusive, dangerous, disruptive, or inappropriate behavior, with no refund provided.

12. Booking Changes Requested by the Client

Any request to change travel dates, names, accommodation, or other services is subject to availability. The client will be responsible for any price difference, supplier amendment charges, and administrative charges resulting from the requested change.

13. Cancellation and Refund Policy

All cancellation requests must be submitted to Nexus Voyages in writing.

  • Cancellation 30 Days or More Before the Start Date: The amount paid will be refunded after deducting a non-refundable service and administration fee of USD $400 per person. Payment-processing fees and bank charges are also non-refundable.
  • Cancellation Less Than 30 Days Before the Start Date: No refund will be provided.
  • No-Shows, Late Arrivals, and Early Departures: No refund or credit will be provided for missed services, early departures, or failure to meet travel requirements.

14. Changes or Cancellations by Nexus Voyages

Nexus Voyages or its suppliers may make reasonable changes to arrangements for operational, safety, or availability reasons. Where a significant confirmed service becomes unavailable, Nexus Voyages will make reasonable efforts to offer a comparable alternative, credit, or refund of any recoverable amount.

15. Third-Party Suppliers

Hotels, transportation companies, tour operators, and other service providers operate as independent third-party suppliers. To the extent permitted by applicable law, Nexus Voyages will not be responsible for a third-party supplier’s operational failure, delay, negligence, or failure to meet the client’s personal expectations.

16. Events Beyond Our Reasonable Control

Nexus Voyages will not be responsible for a delay, change, cancellation, failure, or loss caused by circumstances beyond its reasonable control, including severe weather, natural disasters, terrorism, strikes, pandemics, government actions, or utility failures.

17. Personal Belongings

Clients are responsible for the security of their passports, documents, cash, luggage, and other personal belongings. Nexus Voyages will not be responsible for belongings that are lost, stolen, or damaged during the trip.

18. Limitation of Liability

To the fullest extent permitted by applicable law, Nexus Voyages will not be responsible for indirect or consequential losses, loss of enjoyment, loss of business, or loss resulting from the acts or omissions of an independent third-party supplier.

19. Complaints

If a client experiences an issue during the trip, they must notify Nexus Voyages and the relevant supplier as soon as reasonably possible. A formal complaint should be submitted in writing within 30 days after the end of the package or service.

20. Website and Intellectual Property

The Nexus Voyages name, logo, website content, designs, itineraries, and marketing materials may not be copied, reproduced, or used for commercial purposes without prior written permission.

21. Governing Law and Dispute Resolution

These Terms and Conditions will be governed by the laws of: Illinois, United States. If a dispute arises, the client and Nexus Voyages will first attempt to resolve the matter through good-faith communication. If the dispute cannot be resolved informally, it will be handled by the competent courts or agreed dispute-resolution process in: Chicago, United States.

22. Changes to These Terms and Conditions

Nexus Voyages may update these Terms and Conditions when required due to legal, operational, or service changes. The version provided to the client when the booking was confirmed will apply to that booking.
